Event registration maximum

I am trying to set a cap on the number of attendees who can signup for an event. I set up the Event Type to have a maximum number of event roles but when I create and tested an event with a maximum, I was able to signup more than the maximum through the online form. I was hoping there would be an option to automatically deactivate the form when the maximum signups were reached. I can’t find anything in the event or on the form that manages the cap on the backend to actually stop registration once the maximum is met. 

Does anyone have insight on how to set it up to stop registration once the maximum is reached?

Hey Elizabeth! As you’ve likely found out, there are a few different types of events in the system, and they all function a little differently. The Event Signup type, which would otherwise be a logical choice for something like this, doesn’t allow you to limit those tickets. There is a type, though, that will work like you want - that’s the Ticketed Event type. Here you can set the number of tickets that are available (via different ticket types, if you’d like) and once those tickets are sold/claimed, they will no longer allow for additional submissions. It is a workaround, but hopefully it’ll work in your case?

In re: Ticketed Events, is there a way to set custom language for when the event cap has been reached? And even better, to trigger a waitlist?

Hey ​@uiyer! Kind of. Each ticket type has its own “Quantity Available” field, which provides the upper limit for the number of tickets available for that type. Once that limit has been reached, that ticket type’s dropdown is replaced with a “Sold Out” message. With a little custom CSS, you can tweak that language for all ticket types - and with more specific custom CSS, you could have it read something more granular. Say, “there are no more Patron tickets available”, or something like that. But there is no interface on the back-end to tweak that language.

You can also remove certain ticket types from the public-facing form, if you’d like - you can do that in the “Ticket & Guest Information” section of the “Build Page” step inside Online Actions. But there is no way to trigger that based on the number of tickets available.

There is also no waitlist functionality out of the box, though of course you could create a separate simple signup form and link off to it from the body content that you can add inside the “Ticket & Guest Information” section.
