You have a wide array of options for scheduling your contacts for Events.
 

 

Manually:

Use Quick Look Up to find a record. Once you've clicked through to their record, add the event to their Upcoming Events or Past Events page section. Use Quick Mark to schedule several people, one at a time, for the same event.
 

Bulk Upload:

You can use the Bulk Upload Wizard to schedule groups of people for events at once.
 

From a Script:

You can add Calendar Events to Scripts so that people can be scheduled for events through canvassing or phonebank outreach.
 

Data Entry Forms:

You can use a Data Entry Form when creating new contact records and scheduling those contacts for an event at the same time. Events can be added to these forms.
 

Online Actions forms:

You can publish an Event Signup form or track activity from a supporter's Hosted Event.

Updating a person's attendance status from scheduled, to confirmed, completed or no show, for example, can be done through the methods listed above, or via the Event Participants List page.

It's generally a good idea to record Contact History along with Event Status changes, but this is optional.
 

Zoom Integration

If you are creating Online Events using Zoom, you can use our add-on Zoom integration which will automatically synch your registered attendees with your participant list

Is there a way to limit more RSVPs after a certain date?

Hi ​@emma treat! there isn’t currently an option that allows you to “stop an RSVP after a specific date.” For event signup and ticketed event forms, you can set a deactivation date at the time of form creation. This will automatically take the form offline on a chosen date which won’t allow any new RSVP’s.

Is there a way to add a field for “guest of…” or a specific table ? Right now, we have to track things in a spreadsheet because I can’t figure out how to indicate in EveryAction who is a guest of whom. It would help us keep track of who has sent us their guest list for our gala. Would also be great to be able to add dietary notes and other details.

Hey ​@LeeY! On the build page of the ticketed event form, there is a section where they can enter guest names. That will appear in the Ticketed Guest Report. However, guest names are not created as full contact records. That report though will show you every ticket purchaser alongside the guest names they entered. You can also pull the event participant report from the event page itself. That will show you event sign ups and attendance.

It might be better to add that as a custom question. Which also answers that second part of your question about adding dietary needs or other details. Also on the build page of your ticketed event form,  you can check “additional information” and create your own custom questions. These responses will then be available on the Online Forms Custom Questions Report.
