How do I find contacts in a specific workflow step?

Overview

 

This article helps you find contacts who are currently in—or have already moved through—a specific step in an automation.

You’ll do this by creating a list (also called a search). Lists are read-only and safe to use—they help you view information, not change it. This is especially useful when you want to understand automation performance, see who needs follow-up, or double-check what’s happening inside a workflow.

Use this when performance data raises a question like, “Who’s still waiting in this step?”

 


 

Before You Begin

Before starting, make sure:

  • You can access Contacts and Workflow Automation

  • At least one automation is active or has run

  • You’re comfortable creating a list (no reporting expertise required)

Time estimate: 5–10 minutes

 


 

Step 1: Create or Edit a List

Most people start on the EveryAction Home Page.

  1. From the left-hand menu, click Contacts

  2. Select Create a List
    (You can also open and edit an existing list if you prefer.)

Tip: Creating or editing a list does not change contacts or workflows—it only helps you see who matches your criteria.

 


 

Step 2: Choose Workflow Automation Criteria

When building your list:

  1. Look for Workflow Automation–related criteria

  2. Choose one or more of the following fields:

    • Entered Workflow – contacts who entered a specific automation

    • Entered Current Step – contacts who reached a specific step

    • Current Step Type – contacts who are currently waiting in a step

These criteria let you filter contacts based on where they are in an automation.

 


 

Step 3: Select the Workflow and Step

  1. Choose the automation you want to review

  2. Select the specific step you’re interested in

This helps narrow the list to only the contacts relevant to your question—for example, who is still waiting for an email or follow-up.

 


 

Step 4: Apply Date Filters (Optional)

If you want to focus on a specific time period, you can:

  • Filter by when contacts entered the workflow

  • Filter by when they entered a specific step

Tip: Date filters are optional. If you’re unsure, start without them and refine later.

 


 

Step 5: Save and Use Your List

Save your list and use it to:

  • Review who may need follow-up

  • Compare patterns you noticed on the Performance page

  • Support reporting or outreach decisions

You can reopen, edit, or reuse this list anytime as workflows change.
