How do I view workflow automation performance?

Overview

 

Viewing automation performance helps you understand what’s happening inside an automation after it’s active. You can see how many contacts have entered, where they are in the workflow, and whether anyone is waiting or getting stuck.

This page is read-only. Reviewing performance will not change your automation or send messages, so you can safely explore without worrying about affecting supporters.

Use this when you want reassurance that your automation is working—or when something doesn’t look quite right.

 


 

Before You Begin

Before starting, make sure:

  • You can access Workflow Automation. If you don’t, that’s okay, just reach out to an admin from your team.

  • The automation you want to review is active (draft or paused workflows don’t show performance data)

  • You’re looking to review progress, not edit steps

Time estimate: 3–5 minutes

 


 

Step 1: Open the Automation List

Most people start on the EveryAction Home Page.

  1. From the left-hand menu, click
    Engagement → Communication Tools → Workflow Automation

  2. If you don’t see Workflow Automation:

    • Use Search for a page in the left-hand navigation

    • Type Workflow Automation

    • Open your list of workflows

 


 

Step 2: Open the Workflow You Want to Review

  1. Find the automation you want to check

  2. If the workflow is Active:

    • Click the workflow name or

    • Select the graph icon to open the Performance page

  3. If the workflow is Draft or Paused:

    • You’ll be taken to the Build page instead

Note: Performance data only appears for active workflows. Draft or paused workflows won’t show results yet.

 


 

Step 3: Review Overall Progress

On the Performance page, you can quickly see:

  • How many contacts have entered the workflow

  • How many have completed it

  • Where contacts are currently waiting or branching

Tip: It’s normal for contacts to be in different places or waiting in steps. Not everyone moves through at the same pace.

 


 

Step 4: Check Individual Steps

Look at each step in the workflow layout to understand:

  • How many contacts reached that step

  • How contacts moved through decision paths
    (the routes contacts take based on their actions, such as opening or not opening an email)

  • Where contacts may be paused or delayed

This view helps you spot bottlenecks or confirm that messages and actions are happening as expected.
