Moves Management action plans help you track the process of engaging and soliciting major donors, giving you a space to:

  • Identify a fundraising goal
  • Track progress towards the ask
  • Schedule follow-ups
  • Record a history of donor outreach
  • Collect and review financial research as stored files
  • Keep free-form notes


Once you've added your Moves Management action plans, you can update and track your progress using the Major Giving Portfolio to organize your prospect research so you can meet or exceed your fundraising goals.

Getting started

The best place to start your cultivation is by using the Prospect queue in your Major Giving Portfolio. This queue can be customized using the criteria your organization sets to find the contacts who might have the capacity or interest to make a major gift.

Open the contact record details page and then select Add New Action Plan from the Moves Management Action Plans section.

You can then add your basic plan details.

Setting the status of your plan 

The beginning Status of your plan will automatically be set to Identification. You will need to update this status as you move your donor through the process.

Each status has a fixed probability percentage that is used to calculate the probability amount you will see in the Moves Management Report and Major Giving Portfolio.

  • Identification (5% of Ask Amount)

  • Qualification (10% of Ask Amount)

  • Cultivation (20% of Ask Amount)

  • Solicitation (40% of Ask Amount)

  • Negotiation (80% of Ask Amount)

  • Stewardship (100% of Committed Amount)

  • Closed (if the result is yes, it is 100% of the committed amount; if the result is No Maybe or Later then it is 0%)

 

Adding the ask

In the Plan Ask section, you can add the projected amounts and expected dates for your intended ask. Once you've made your ask, you can update this section with your final results so you can compare your success and report on your progress.

Calculating the probability

The Probability section allows you to enter your own assessment of the Readiness, Likelihood, and Capacity of this donor to respond to your ask. These are separate from any wealth screening scores or integrations that you may have to score your donor. You can enter any value between 0-999.
  

If you want help scoring donor readiness, you can use the DonorTrends add-on feature to help rank your donors on their likelihood to respond to specific Asks.

Adding additional information

Once you save your preliminary information, you can then add follow-ups, contact history, notes, or attach files to the details page of your Moves Management action plan. You can also add WealthEngine data for the contact if you have an API key for the integration.

When a donor makes a commitment to give, you can also add that Pledge to the plan so you can track when the contribution is made.

In addition to an amount, pledge date, source code, attribution, and note, Pledges can also be assigned a Type (raise or give), Condition (conditional or unconditional), and a Commitment Level (promise, intent, not specified).

Once a Pledge has been applied, Contributions can then be attributed to fulfilling the pledge.

Viewing and updating existing plans

When you open the Major Giving Portfolio, you will see the cards for anyone who is due for a follow-up. You can open their plan details using the action menu (three dots) on the card and selecting Edit action plan.

You can also open a list of available action plans from the tab at the top of the portfolio and then select Edit action plan from the action menu next to the contact's name.

You can also view and edit an existing plan from the Moves Management action plan section on a contact record. Select Edit next to the plan you wish to update.

This will open the action plan details page, where you can edit any of the information about the plan. You can update the status of the plan from the Plan Details section.

Be sure to Save your changes before exiting the page.


 

Copying a plan

If you want to duplicate an existing plan for a contact, you can do that from the plan details page. You will see the Copy option on the More dropdown in the upper right corner of your screen.

Once copied, it will appear in the Moves Management section of the contact record or on your action plan list in the Major Giving Portfolio with the current date and the Status reset to Identification.

Follow-ups, contact history, notes, and any attached files will not be saved to the new plan, but the following fields WILL be copied:

  • Designation
  • Campaign
  • Primary Solicitor
  • Secondary Solicitors
  • Ask Amount
  • Projected Amount
  • Readiness Potential
  • Likelihood Potential
  • Capacity Potential
  • These fields will be populated with default values:
  • Plan Start Date – today’s date
  • Plan Status - Identification
  • Status Date – today’s date 
 

Closing a plan

Closing a plan can be done either by selecting it as a Status from the Plan Details section or by using the More dropdown menu in the top right corner.

In order for a plan to be closed, it must have a Result and Result Date in the Plan Ask section.

Deleting a plan

You can Delete your plan using the link in the More dropdown menu.

Plans can only be deleted if they do not have any data associated with them, such as:

  • Pledges
  • Contributions
  • Follow-ups
  • Contact history
  • Notes
  • Attachments
 

Using Bulk Upload to add multiple plans

You can create a large number of action plans at once for a specific campaign or at the start of the fiscal year by using the Bulk Upload tool. The spreadsheet to upload should contain one row per plan and you must include a column with the VANID of the contact record to whom the plan should be applied.


When you map your fields, you need to select Apply Action Plans so you can map columns from the file to the relevant plan fields.
