The Birthday workflow automation template helps you recognize supporters on their birthday with a thoughtful message or follow-up.
This workflow supports warm, personal stewardship with minimal effort. Messages and follow-ups are pre-built and fully reviewable. Nothing is sent or assigned until you activate the workflow.
Use this template to celebrate supporters in a simple, meaningful way—without manual tracking.
Before You Begin
Before starting, make sure:

You can access Workflow Automation. If you don’t, that’s okay, just reach out to an admin from your team.

Supporters have birthdates recorded

You’re comfortable reviewing email messages or follow-up assignments

Step 1: Start with the Template
Most people start on the EveryAction Home Page.

From the left-hand menu, click
Engagement → Communication Tools → Workflow Automation -
If you don’t see Workflow Automation:

Use Search for a page in the left-hand navigation

Type Workflow Automation
-
Select Build from a template
-
Tip: Templates are designed to be safe and simple—you’re reviewing an existing setup, not building from scratch.
Step 2: Select the Birthday Template

In the template list, choose Birthday

Open the template to view the workflow steps
At this point, you’re only reviewing the setup. No messages or follow-ups are created yet.
Step 3: Review Decision Logic
This workflow uses simple decision logic, which are rules that help choose the right message or follow-up.
As you review the steps, you’ll see that the workflow:

Adjusts messages based on donor type (for example, one-time donors or recurring donors)

Determines whether to send a birthday email or create a follow-up task
These checks help keep outreach appropriate and personal.
Step 4: Customize Messages and Follow-Ups (Optional)
You can edit the messages or follow-up assignments to match your organization’s voice and process.
Common updates include:

Adjusting birthday email wording

Confirming sender and reply-to details
-
Reviewing whether follow-ups are assigned
Tip: If the default messages and follow-ups work for you, no changes are required.
Step 5: Run Check and Activate
When you’re ready:

Run the workflow check to confirm everything is complete

Activate the automation
Important: Once activated, this workflow will begin sending birthday messages or creating follow-ups automatically. If you’re not ready, you can save your work and activate it later.
