Overview

 

The Track Your Donors automation template helps you automatically keep track of donor activity behind the scenes. It applies labels (called tracking or activist codes) to donors based on the actions they take, so you can easily identify and follow up with the right people later.

This template is useful when you want visibility into donor behavior without manually reviewing records. You can review and adjust everything before activating it. Nothing happens to donor records until you choose to activate the workflow.

 


 

Before You Begin

Before starting, make sure:

  • You can access Workflow Automation. If you don’t, that’s okay, just reach out to an admin from your team.

  • You understand this workflow is for tracking donor activity, not sending emails

  • You’re comfortable reviewing existing settings (no technical expertise required)

Time estimate: 5–10 minutes

 


 

Step 1: Start with the Template

Most people start on the EveryAction Home Page.

  1. From the left-hand menu, click
    Engagement → Communication Tools → Workflow Automation

  2. If you don’t see Workflow Automation:

    • Use Search for a page in the left-hand navigation

    • Type Workflow Automation

    • Select Build from a template

Tip: Starting from a template means the tracking logic is already set up for you.

 


 

Step 2: Select the Track Your Donors Template

  1. In the template list, choose Track Your Donors

  2. Open the template to view the workflow steps

At this stage, you’re only reviewing the setup. No donor records are changed yet.

 


 

Step 3: Review How Donor Activity Is Tracked

This workflow uses decision logic, which are simple rules that decide what happens next based on donor actions (for example, making another donation or taking an additional step).

As you review the workflow, you may notice:

  • Branches, which are different paths donors follow based on what they do

  • Tracking or activist codes, which are labels added to donor records so you can identify them later

You don’t need to change anything unless something clearly doesn’t fit your needs.

 


 

Step 4: Customize Criteria and Codes (Optional)

If needed, you can adjust:

  • The criteria that determine which actions are tracked

  • The codes applied to donors when those actions occur

Tip: If you’re unsure what to change, it’s okay to leave the default settings in place. You can always come back and adjust them later.

 


 

Step 5: Run Check and Activate

When you’re ready:

  1. Run the workflow check to confirm everything is complete

  2. Confirm you have the required permissions

  3. Activate the workflow

Important: Once activated, this workflow will begin applying codes to real donor records. If you’re not ready, you can save your work and activate it later.
