Before using the Bulk Upload tool, please note that you will need to work with your system administrator to extract your existing contact data from your previous CRM system. This step is critical to ensure a smooth transition and accurate data upload.
EveryAction Support cannot assist with extracting data from your previous CRM. This process falls outside the scope of support services and requires collaboration with your system administrator or the support team of your previous CRM.
Step 1: Choose Your File Format
Ensure that your contact data is properly exported into either a Google Sheet or an Excel spreadsheet before proceeding with the Bulk Upload process. Having your data prepared in the correct format will allow you to effectively utilize the Bulk Upload tool and start managing your contacts in EveryAction efficiently.
EveryAction supports several formats for bulk upload:
-
Google Sheets
-
Microsoft Excel (.xls, .xlsx)
-
Plain Text Files (.csv or .txt)
-
Compressed Text Files (.zip or .rar)
Using Google Sheets
If you choose to upload from Google Sheets, follow these steps:
-
Provide the URL: You will be asked for the URL of your Google Sheet.
-
Grant Permission: You must grant permission to read the file from your Google Drive.
-
File Requirements: Ensure that the URL provided points only to your Google Sheet. Other file types from Google Drive will not be accepted.
Using Microsoft Excel
When uploading from Microsoft Excel:
-
Upload Your File: Select your Excel file for upload.
-
Check the Last Column: Ensure that the last column of your file is fully populated for each row with data. This step is crucial for a successful upload.
Using Plain Text Files
For plain text files (.csv or .txt):
-
File Format: Your file must be PC formatted.
-
Delimiter: Ensure that your file uses either commas (.csv) or tabs (.txt) to separate fields.
Using Compressed Text Files
If you prefer to upload a compressed text file (.zip or .rar):
-
File Type: The text file inside the compressed file must be a .txt file.
-
Exact File Naming: The name of the compressed file must match the source text file name exactly, except for the extension. For example, a compressed file named ActivistCode.zip should contain the file ActivistCode.txt.
Step 2: Prepare Your File
After you have your data in an approved file type, you can now Prepare Your File for Bulk Upload.
Make sure there are:
-
No duplicate column headers
-
No unsupported characters like ampersands.
As for size requirements, make sure that your file size is:
-
Under 20 MegaBytes
-
Has a limit of 50 columns.
If you attempt to upload a file that does not meet the requirements, a message will populate with instructions on how to edit your file for acceptance.
