Question

External versus In-Product PDFs

Greetings from Orangewood Foundation,

I am curious to know if anyone on the channel has received approval from CalOptima to submit PDFs of Apricot-built forms as opposed to PDFs created/provided directly by CalOptima? In previous audit cycles, our staff have been filling out the latter and then uploading them into Apricot via a document upload field. However, if we could have staff filling out the Apricot-built forms this would be much more ideal, as staff would not need to navigate between two different browser tabs.

Curious to hear from the group!

    Hi Blaise,

Am I correct that the annoyance is mostly that staff have to manually fill out the form in another tab in the CalOptima template, even though the field-data is already in Apricot?  While I’m not 100% sure, I don’t think the CalOptima forms are required for audit, right?  Just the data?

But if you do need the form filled out within the template, I can think of a couple of automated methods.

    (1) API-based template completion

We could put a button in the Apricot form that, when clicked, would trigger an automation.  The automation would use the API to gather the information necessary from Apricot, complete the template, then automatically put it into Apricot as a file attachment.

Better yet, that could happen automatically after the record is saved...it could auto-validate that all of the necessary information is present then run the automation, placing the completed .pdf in Apricot.

I wonder about signatures on that, though.  Are there signatures that you’d need on those?

    (2) Browser extension

This one requires that all of the necessary data is on the screen when you use the extension...which might not be real.

Creating browser extensions is much simpler these days.  I could envision a browser extension on each staff’s machine that would harvest the data off of the screen, then run a similar template completion process and hand it back to the user as the completed .pdf.

I’m guessing this latter one isn’t quite feasible, but it’s a fun one to think about.
