How do I delete a Contact Record?

Follow the steps below to delete a contact record that was created by mistake or is no longer needed by your organization.

Note: Deleting a contact is immediate and permanent. It cannot be undone. Before continuing, make sure the record doesn't contain information you may need later. If you're not sure whether the contact should be deleted, consider merging duplicate records or applying a suppression instead. Merging duplicate records and applying suppressions let you keep important information while preventing unwanted outreach.

Before You Begin

Before you begin, EveryAction checks whether it's safe to delete the contact. If the contact has any of the items below, deletion won't be allowed to help protect your organization's records.

●        Contributions

●        Pledges

●        Recurring Commitments

●        Disbursements

●        Debts

●        Action Plans

●        Membership

●        Primary member of a Financial Household

This safeguard protects your organization from accidentally removing contacts who have a financial relationship with you. If the contact has any of the above, see How do I apply suppressions on contact records? to exclude them from searches and lists instead.

Step 1: Navigate to the Contact Record

  • From the EveryAction Home Page, hover over the left-hand navigation menu and choose Contacts, then click Quick Look Up.

Contacts > Quick Look Up

  • If you do not see Quick Look Up in the menu, use the Search for a page field in the left-hand navigation and type Quick Look Up.

Step 2: Delete the Contact

You can delete a contact from two places. Use whichever view you have open.

Option A: From the All Details View

  1. Scroll to the Actions section of the All Details page.

  1. Select Delete Contact.

  1. The contact is immediately removed from your records.

Option B: From the Contact Record View

  1. Open the More Actions menu in the left-hand column.

  1. Select Delete.

  1. The contact is immediately removed from your records.

What If I Can't Delete the Contact?

If you see a message saying the contact cannot be deleted, the record is linked to contributions, pledges, or other financial data. EveryAction prevents deletion in these cases to protect your financial history.

In this situation, you can apply a suppression to exclude the contact from future searches and mailing lists without removing them from the database.

Organizations Using Data Sharing Across Multiple Committees

If your organization uses data sharing across multiple committees, you can only delete contact records that belong to committees you have access to. Users who only have access to a child committee may not be able to delete certain contact records. If this happens, contact an administrator or someone with access to the primary committee.
