How do I merge duplicates from the Contact Record profile page?

Use this method when you are already viewing a contact profile and know they have a duplicate in the database. This shortcut launches a Quick Look Up search automatically based on the contact name, so you can find and merge the duplicate without starting over.

Note: Merging is permanent. The secondary record will be deleted after the merge. Review both records carefully before confirming.

 

Before You Begin

Make sure you have editing permissions for both contact records. If you are not sure, check with your administrator.

You can only merge two records at a time.

 

Step 1: Open the More Actions Menu

From the contact Overview page, open the More Actions menu in the left-hand column.

 

Step 2: Select Merge

Select Merge from the menu. EveryAction will automatically run a Quick Look Up search based on the contact name and return possible matches.

 

Step 3: Select the Duplicate Record

From the search results, select the record you want to merge with. Then select Merge this contact.

 

Step 4: Review and Confirm the Merge

You will see the same side-by-side comparison screen used when merging from Quick Look Up.

A good rule of thumb: choose the record with more complete information as your Primary. Both records' data will be visible side by side to help you decide.

●        Select which record to keep as the Primary record. The other record will be merged into it, then deleted.

●        Fields that can hold multiple values, such as emails, phone numbers, and addresses, will be combined automatically into the Primary record.

●        Fields that can only hold one value require you to choose which data to keep. Use the radio buttons to make your selection. If any section still needs your decision, you will see a flag appear on that tab before you can confirm.

●        Use the tabs on the left to page through all sections of the record. Use the blue external link icons to open either record in a new tab for a closer look.

Once you have reviewed everything, select Merge and confirm the action.
