How do I share a Data Standard to a Network?

Sharing a Data Standard to a Service Provider Network allows Network Members to adopt or map a shared standard for consistent data collection and reporting. This step is completed by the Network Lead and makes the Data Standard available to participating organizations.

 

Sharing a Data Standard does not force members to use it. Each organization chooses whether and how to implement the shared standard.

 

Before you start

  • You must be an Apricot Administrator for the Network Lead organization.

  • The Data Standard must already be published.

  • The Network must already exist.

  • Only Data Standards explicitly shared to a Network are visible to Network Members.

 

Share a Data Standard to your Network

  1. In Apricot, go to Administrator.

  2. Open Workflow Station, then select Networks.

  3. Open the Network you want to manage.

  4. Select the three-dot menu for the Network and choose Manage / Apply Data Standards.

  1. Select Add Data Standards.

  2. Choose the Data Standard you want to share.

  3. Select Apply Data Standard to confirm.

Once shared, the Data Standard becomes available for Network Members to review and implement.

 

What Network Members see

After a Data Standard is shared:

  • Network Members see the standard listed as available.

  • Members can choose to:

    • Adopt the Data Standard as-is, or

    • Map it to existing fields during implementation.

  • Members must explicitly take action to implement the standard.

No data is shared automatically as part of this process.

 

What members see in the Form Designer

After implementing a shared Data Standard, Network Members will see the associated fields marked with a DS icon in the Form Designer. These fields appear locked, which is by design. As a member of a Service Provider Network, your organization has entered into a data sharing agreement that requires these fields to remain consistent with the Network Data Standard.

If a member needs to make changes to a locked field, they'll be prompted in the Form Designer to navigate to the Stop Data Sharing process. Stopping the share removes the data sharing agreement for that standard, after which the fields can be modified freely.

 

Important things to know

  • Sharing a Data Standard controls availability, not implementation.

  • You can share or unshare Data Standards at any time.

  • Only the fields you selected when creating the Data Standard are part of the standard.

  • If you allowed full forms to be shared during creation, Network Members may also pull in entire forms, with form logic preserved.

 

Updating shared Data Standards

If you publish a new version of a Data Standard:

  • You can share the updated version with the Network.

  • Network Members are not forced to upgrade automatically.

  • Members can review and implement the new version when ready.

This approach supports consistency while allowing organizations to move at their own pace.
