How do I create a matchback file?

Overview

A matchback file contains the records of contacts who actually received your mailing, allowing you to accurately update their status in your database.

Step 1: Start with your exported plan file

  1. Locate your exported Direct Response Plan file

  1. This file should include the "Direct Response Plan subsegment ID" column, which is essential for the matchback process

Step 2: Remove excluded contacts

  1. Delete rows for any contacts who did not receive the mail piece

  1. These might include contacts excluded due to budget concerns, list hygiene, or other reasons

  1. Keep only the contacts who received the mailing

Step 3: Format your file correctly

  1. Ensure your file includes these three required columns:

  1. VANID (the unique identifier for each contact)

  1. Subsegment ID (the unique ID connecting the contact to the plan segment)

  1. The date the mailing was sent out

  1. Remove any unnecessary columns to simplify the upload process

  1. Save your file in a format compatible with Bulk Upload (CSV is recommended)
