Understanding Finder Files

Getting Started

To begin working with Finder Files in Bonterra CRM (formerly EveryAction), you'll need to coordinate with your list broker who provides the file containing rented or exchanged names for Direct Mail acquisition efforts. These files help keep acquisition data separate from your house file until prospects respond to your mailings.

Feature Details

Finder Files serve as a specialized tool for Direct Mail acquisition campaigns, allowing you to maintain a clear distinction between rented/exchanged names and your existing contacts. Each name in the Finder File is assigned a unique number by your list broker, facilitating the automatic addition of prospect information to your database when they respond to your mailings. The system stores Finder Files as shadow tables not directly accessible in the CRM interface, preserving the integrity of the data while making it readily available for processing new contributions. Before starting an acquisition effort, it's recommended to use Eliminator Files to exclude existing contacts from your campaigns, ensuring you're only targeting new prospects with your acquisition mailings.

Tracking your Success

After implementing Finder Files, you can track the success of your acquisition efforts by monitoring contributions that come in with finder numbers. These automatically populate contact information from your Finder File, allowing you to measure response rates from specific acquisition sources. The system maintains an association between the contact and their acquisition source code, enabling you to analyze the effectiveness of different acquisition strategies.

Next Steps

To get started with Finder Files, you'll need to coordinate with your list broker to prepare the file according to the required format and then work with Client Services to upload it to your Bonterra CRM account.
