How do I acknowledge split contributions in EveryAction?

When a contribution is split across multiple funds, you have three options for how to handle the donor acknowledgment. Review the options below and follow the steps for the approach that best fits your donors' needs.

All three approaches use the Contribution Acknowledgment Report. 

 

Before you begin: Understanding split contribution filters

 

The Contribution Acknowledgment Report includes three filters that help you work with split contributions:

Filter What it does
Split Status Filters by status: None (not part of a split), Initial (the initial contribution), or Split (the added or linked split contribution)
Amount Including Splits From Limits results to contributions with a combined split amount above the number you enter
Amount Including Splits To Limits results to contributions with a combined split amount below the number you enter

 

Option 1: Send a separate letter for each split

Include split contributions in your standard acknowledgment workflow the same way you would any individual donation. Run your Contribution Acknowledgment Report as usual without filtering on Split Status.

When to use this: Your organization already has an acknowledgment process in place and you want split contributions to follow the same path as all other gifts.

Keep in mind: Donors may find it confusing to receive multiple notices for smaller amounts that together make up one overall contribution.

 

Option 2: Send one summary letter for the full split group

Create a single acknowledgment letter that reflects the full transaction rather than each individual split.

  1. Run the Contribution Acknowledgment Report.
  2. Filter Split Status to exclude all records with a status of Split.
  3. Replace the Remaining Amount column with the Amount including splits column to use as the amount field in your mail merge.
  4. Use the resulting export to generate your summary letters.

When to use this: You want the donor to receive one letter that reflects the full value of their gift rather than multiple notices for each portion.

 

Option 3: Exclude split contributions from standard acknowledgments

Handle split contributions separately through your major donor program or with custom letters, keeping them out of your standard acknowledgment workflow entirely.

  1. Run the Contribution Acknowledgment Report.
  2. Filter Split Status to include only contributions with a status of None.
  3. Process these contributions through your standard acknowledgment workflow as usual.
  4. Handle contributions with a Split Status of Initial or Split separately, using custom letters that include the fund name for each gift.

When to use this: Split contributions in your organization typically come from major donors who need more tailored communications than your standard acknowledgment process provides.
