How do I manage inactive General Ledger Funds and Cost Centers?

Overview

When a General Ledger Fund or Cost Center is no longer needed for new contributions, you can mark it as inactive while preserving it for historical records and reporting. 

Step 1: Determine if a fund or cost center can be deleted 

1. Navigate to the General Ledger Funds or Cost Centers list 

2. Click on the name of the fund or cost center you wish to manage 

3. At the bottom of the details page, check how many source codes are associated with it 

4. If the count shows zero applied source codes, you can delete it entirely 

Step 2: Delete an unused fund or cost center (if applicable) 

1. If the fund or cost center has never been used (zero applied source codes), the Delete button will be active 

2. Click Delete to permanently remove the unused fund or cost center 

3. Confirm your decision when prompted 

Step 3: Mark a used fund or cost center as inactive 

1. If the fund or cost center has been used but is no longer needed, locate the Status setting 

2. Change the status from Active to Inactive 

3. Save your changes 

Step 4: Update associated source codes (recommended) 

1. For any source codes associated with the now-inactive fund or cost center, consider changing them to Searchable Only 

2. This prevents new contributions from being added with these classifications 

3. The source codes will still be available for searching and reporting on past contributions 

Important note: 

Even when marked as inactive, General Ledger Funds and Cost Centers will still appear on previous contributions and remain available for searching and reporting purposes. This preserves your historical financial data while preventing new entries from using outdated categories.
