Follow the steps below to create a Joint Fundraising Entity, add participating committees, and publish the entity so it's available for use throughout EveryAction.

Before you begin: Joint Fundraising must be enabled on your account before you can access this feature. Contact Client Services to have it turned on.

Step 1: Open the Joint Fundraising Entities page and create a new entity

Navigate to your Joint Fundraising Entities page. Select the Actions menu at the top right and choose Add New Entity.

Step 2: Enter your entity details

On the Entity Details page, complete the following fields:

  • Designation — Assign a designation for this entity
  • Name — Enter a unique name for the entity
  • Export Name — This is how the entity will appear in exports
  • Description — (Optional) Add any additional identifying details

Select Save. The page refreshes and the entity is created in Draft status. You can now add participating committees.

Step 3: Add participating committees

From the Actions dropdown menu on the Entity Details page, choose the type of participating committee that fits how you want contributions distributed. You can add one type, the other, or both.

Option A — Add a Dollar Amount Participating Committee

Select Add Dollar Amount Participating Committee to create a committee that receives up to a fixed dollar amount of any contribution made to the entity.

Complete the following fields:

  • Contact — Search for the contact for this committee
  • Internal Name — Enter a unique name for this committee
  • Individuals & PAC - Nonmulticandidate — Enter a dollar amount limit
  • PAC: Multicandidate — Enter a dollar amount limit
  • Period — Enter the specified period
  • Cycle — Enter the specified cycle (required if a period is selected)

Select Save to return to the Entity Details page, or Save & Add Another to add another committee immediately.

Option B — Add a Percent Split Participating Committee Group

Select Add Percent Split Participating Committees to create a group of committees where each committee receives a percentage of the total contribution, up to a dollar limit based on each committee's limits.

  1. Provide a unique name for the group.
  2. Select Add Participating Committee and complete the following fields for each committee in the group:
    • Contact — Search for the contact for this committee
    • Internal Name — Enter a unique name for this committee
    • Split Method — Choose one:
      • Even Percent Split of Contribution Total — The system calculates each committee's percentage based on the other committees in the group
      • Fixed Percent Split of Contribution Total — Enter a specific percentage for this committee
    • Individuals & PAC - Nonmulticandidate — Enter a dollar amount limit
    • PAC - Multicandidate — Enter a dollar amount limit
    • Period — Enter the specified period
    • Cycle — Enter the specified cycle (required if a period is selected)
  3. Select Save to return to the Percent Split Group Details page, or Save & Add Another to add another committee to the group.
  4. When the group is complete, save to return to the Entity Details page.

Note: The system supports up to 40 groups, with no limit to the number of participating committees within each group. A dollar amount participating committee counts as a group of one — for example, three dollar amount committees and one percent split group equals four groups total.

Step 4: Reorder your participating committees (optional)

While the entity is in Draft status, you can drag and drop participating committees and groups to reorder them. Hover over the left side of a committee or group card — a grip icon appears — then drag to the desired position.

Note: Once a percent split group has been formed, you cannot drag individual participating committees into or out of it.

Step 5: Publish your entity

When you have finished entering all details, select Publish from the Actions menu.

The system checks for errors in your Percent Split Group allocations. All groups must total 100%, and every group must contain at least one participating committee.

  • No errors found — The page refreshes and the status updates to Published. The entity now appears in dropdown menus throughout EveryAction.
  • Errors found — The entity remains in Draft and the errors are displayed on the page. Fix the errors and select Publish again.

Understanding entity statuses

Status What it means
Draft All details are fully editable. The entity appears only on the Joint Fundraising Entities list page.
Published Some details are editable. The entity appears elsewhere in EveryAction. To make substantial changes, unpublish the entity and edit it in Draft.
Active The entity became Active when the first contribution was applied, or when it was set as the default for a designation. Some details are editable and the entity appears elsewhere in EveryAction. An Active entity can only be Deactivated — it cannot return to Published or Draft.
Deactivated Some details are editable. The entity appears in only a few places in EveryAction. Contributions cannot be applied to a Deactivated entity. You can change the status back to Active.

Need to edit an existing entity?

Navigate to the Joint Fundraising Entities page, select the three-dot menu to the right of the entity name, and choose Edit. You can also select Edit from the Actions menu on the Entity Details page.

Want to set this entity as the default for a designation?

Contact Client Services to set a specific entity as the default for a designation. Once the default is set, the entity will automatically be applied to any contribution where that designation is selected.
