Understanding User Profiles in EveryAction
User Profiles Overview
User Profiles give administrators an easy way to assign the same group of permissions or capabilities to multiple users at once. If you have an administrative role in your organization, you may be able to assign pre-set User Profiles to your users and create or edit custom ones. User Profiles control how users interact with records — such as editing and searching — but not which records they can access.
Keeping user permissions consistent across your team is one of the most time-consuming parts of account management. User Profiles make it faster and more reliable: configure access once, apply it to everyone in the same role, and update the whole group in one step whenever something changes. Pre-set profiles are named by the packages your organization has purchased, so you can always tell what level of access each profile represents.
User Profiles are also hierarchical — you can only manage profiles with fewer permissions than your own. This keeps your organization's data safe by preventing users from granting themselves or others elevated access.
Administrators use User Profiles when onboarding new team members, adjusting access as roles change, and making sure the right people have the right tools. You configure the profile once, apply it to users, and you're done.

What This Feature Helps You Do
- Assign the right level of access to each person on your team
- Apply permissions to groups of users at once instead of one at a time
- Maintain consistent access controls across your entire organization
- Keep sensitive data and tasks protected from users who don't need that access
How This Feature Supports Your Work
| What the Feature Does | Why It Helps You | Real-World Use Case |
|---|---|---|
| Groups permissions into named profiles | Saves time — no need to configure each user account individually | An admin creates a Staff profile and applies it to the whole team at once |
| Controls access to editing, searching, and specific tasks | Helps protect sensitive data by limiting what each user can do | Users who need to export data get a profile with export access; others don't |
| Applies a hierarchy between profiles | Prevents users from granting themselves or others elevated access | A staff-level admin can create users below their permission level, but not above |
| Offers _Staff variants for each profile combination | Lets you share administrative capability without losing full control | A senior staff member gets the _Staff version — same access as yours, but they can't edit your account |
