Apricot Mobile (open beta): FAQs and known limitations

The Apricot Mobile app is available for download in the U.S. and Canada from the App Store (iPhone) or Google Play (Android). Note Capture and other Que skills are currently available in beta to U.S.-based organizations only.

This article covers common questions about how the Apricot Mobile app works and what to expect during the beta period.

 

About the Apricot Mobile app

 

Is Apricot Mobile available outside the United States?

Apricot Mobile is available to download in the U.S. and Canada from the App Store and Google Play. However, Note Capture and other Bonterra Que skills are currently available to U.S.-based organizations only during the open beta. If your organization is based in Canada, you can still use Apricot Mobile to browse and update participant records, fill out forms, and save drafts — you just won't have access to Note Capture at this time.

Does the app work without an internet connection?

An active connection — Wi-Fi or cellular — is required to use Apricot Mobile. Offline use is not supported during the open beta.

Can guest users access Apricot Mobile?

Guest user access is not supported in the current version.

Can I archive or delete records from the mobile app?

Not currently. Those actions need to be done in Apricot desktop.

Can I manage forms, users, or org settings in the app?

Not in this version. Form management, user administration, and org settings are handled in Apricot on your desktop. The mobile app is designed for field-based data entry and documentation. This is intentional.

Why don't I see the Caseloads tab?

The Caseloads tab only appears for organizations that use the caseloads feature in Apricot. If your organization doesn't use caseloads, you won't see the tab — that's expected behavior.

Why does my home screen show recently edited participants instead of my full list?

The home screen currently displays participants who were most recently edited in your selected site and program. This view is actively evolving — Bonterra is gathering feedback on what the most useful landing experience would look like. In the meantime, use the search bar to find any participant by name or other identifier.

 

About the Note Capture skill

 

Can I use Note Capture when creating a new participant?

Not yet. Note Capture is only available inside existing participant records. Starting a brand-new Tier 1 record from the home screen doesn't include Note Capture at this time.

Does Note Capture record my full conversation with a participant?

No. Note Capture records a voice note you speak after the interaction — it's not ambient listening and does not record or transcribe a live session or conversation. Notes are saved as text, not audio, and your voice recording is not retained after processing.

Why does the draft need to be finalized in Apricot desktop?

Note Capture saves your form as a draft linked to the participant record. This gives you a chance to review all suggested field mappings, make edits, and confirm accuracy before anything is submitted. Finalizing on desktop — where you can review the full record in context — keeps you in control of what gets saved. Drafts are excluded from reporting until they're published as full records.

Can Note Capture follow my organization's specific note format?

Note Capture maps what you say into your form's fields based on your spoken content. If your organization uses a structured format, speak your note in that order — reviewing the field list before you record (tap the hyperlink that appears before you start) helps you remember what to include. The AI can't currently be configured to follow a custom format automatically.

Why can't I start a Note Capture from the home screen?

Note Capture is available from inside an existing participant record. Find and open the participant first, then tap the plus sign inside their record and select Note Capture. You can't initiate it from the home screen at this time — that's something the team is actively exploring.

Which field types can I use on mobile?

Most field types are fully editable in Apricot Mobile. Here's what's supported:

What about fields I can see but can't edit?

Some fields are display-only in the app — they're visible but not editable. Calculated fields in this group do update live when their dependent fields change.

Display-only fields: Append Only, Label, Calculated, Date Calc, Time Diff, Record Lock, System Date, System User, Record ID, User List.

Can I use dynamic dropdown fields on mobile?

Dynamic dropdown fields currently show the selected value in read-only mode — you can view it, but changes need to be made in Apricot desktop. Full editing support is on the roadmap.

Why are some fields showing blank even though I have permission to view them?

Restricted fields — like phone numbers marked as secure — may appear blank temporarily in the open beta. A fix is in progress. In the meantime, you can view and update those fields in Apricot desktop.

Are there any other known field issues I should know about?

A few things to be aware of during the beta:

  • Address has a known mismatch between street1/2 and line1/2 on the backend. This is a known issue.
  • Scheduler intentionally skips attendee and event ID sync on mobile.
  • Dynamic (which covers Dynamic Dropdown, Checkbox, Number, Text, and Auto Populate) currently renders as plain text in the app.
