How do I enable forms for Apricot Mobile? (Bonterra Que)

Before your staff can use Note Capture and fill out records in Apricot Mobile, you need to enable the relevant forms for mobile and turn on drafts. This is done in Apricot on desktop — there’s no separate mobile admin panel.

 

To enable a form for mobile:

  1. Log into Apricot on your computer as an admin.

  2. Navigate to the form you want to enable.

  3. Click the gear icon at the top of the form (Form Properties).

  4. Check the Visible in Mobile box.

  5. When prompted, decide whether to also enable Allow Drafts for that form (see below).

  6. Click Apply, then Publish the form.

Repeat for each form you want staff to access in the app. Enable at least one Tier 1 and one Tier 2 form so your team can see the full flow.

Controlling visibility by section (optional): Once a form is enabled for mobile, you can go section by section and include or exclude individual sections. For example, you can hide a signature section from mobile without disabling the whole form.

After enabling new forms: Staff need to log out and log back in to the app to see the changes. The app does not update automatically in real time.

 

Draft settings

When you check Visible in Mobile, Apricot will offer to turn on Allow Drafts for that form.

  • Drafts on: Staff can save a form without completing all required fields and return to finish it later. Drafts are excluded from reporting until they’re published as full records.

  • Drafts off: Staff must complete all required fields before saving.

You can turn drafts on or off per form in Form Properties at any time. You can also assign Draft Manager access to supervisors or program directors, giving them a full view of all in-progress drafts across the organization and the ability to send reminders to staff who haven’t finished a record.
