Overview
To send year-end gift receipts, you first need an audience—a saved list of donors who gave during a specific year. This article shows you how to create that list step by step.
This process only builds and saves a list. It does not email donors or send receipts.
Result: You have a saved list you can reuse when sending year-end gift receipts.
Before you begin
-
You have access to create and save lists
-
You know which year you are preparing receipts for
Estimated time: 5 minutes
Step-by-step instructions
Step 1: Open Create a List
-
Start from the EveryAction Home Page.
-
In the left-hand navigation, click Create a List.
-
If you don’t see it, use the Search for a page field and search for Create a List.
-
Step 2: Add contribution rules
-
In Create a List, scroll to the Contributions section.
-
Select Date Received.
-
Enter a date range for the year you are sending receipts for.
-
Example: January 1 to December 31 of the same year.
-
Tip: If you’re unsure, start with a broad date range. You can adjust this later.
Step 3: Preview and run the list
-
Click Preview My Results to check the approximate number of donors.
-
If the results look reasonable, click Run the List.
Running a list does not send emails or contact donors. It only builds the list.
Step 4 (Optional): Refine the list
Only complete this step if you know you need to narrow the audience.
You may filter by things like:
-
Contribution type
-
Payment method
-
Related contribution details
If you’re unsure, skip this step. You can always come back and refine the list later.
Step 5: Save the list
-
Save the list with a clear name, such as Year-End Gifts – 2025.
-
You can reopen and edit this list at any time in My List.
Quick check before you move on
✅ The date range matches the correct year
✅ The preview results look reasonable
✅ The list is saved with a clear name
