Async Reporting: Run Large Native Reports in the Background
🆕 What’s new
Async Reporting runs large native reports in the background, so they no longer fail at the two-minute browser limit. You can leave the page while a report runs, and Apricot notifies you when it’s ready.
-
⚙️ Turn on async processing for each report with a toggle in Report Properties.
-
📊 Watch each run move through its status (queued, running, completed, or failed) on the report page.
-
🔔 Get an in-app notification when a report or export is ready, or if it fails. Reports with multiple sections send a single completion notification. Administrators choose which notification channels are used.
-
🔒 Download async exports through a secure Apricot link tied to the requesting user and organization. Links can’t be shared, and exports are available for 48 hours.
Reports run with your own access permissions, so you see the same data as when you run the report normally.
🔑 Availability and action required
Async Reporting is available to all Apricot customers using Native Reporting, on all instance types. It’s off by default, and reports you don’t switch on keep running as they do today. No action is required, but consider turning it on for reports that often time out, such as those with broad date ranges, high record volume, many linked forms, or large exports.
⚠️ Good to know
-
🔄 Changing global filters doesn’t run the report automatically. Click Refresh to start a run.
-
⏳ Background runs have a 15-minute maximum and aren’t retried automatically. If a run fails, you’ll be notified and can run it again.
-
📅 Exports expire after 48 hours. Re-run the export to get a new file.
-
📰 Async reports can’t be used in Bulletins. They don’t appear in the Bulletin report dropdown. If you switch a report that’s already in a Bulletin to async, you’ll need to choose a different report before you can save the Bulletin. Check your Bulletins before you enable async.
-
🖨️ Print Mode for async reports needs a saved run. If there isn’t one, you’ll be prompted to run the report first. Switching programs can clear the saved run.
-
✏️ Async applies to running and exporting reports, not to edit mode.
