Best Practices and Prompt Guide: Workflow Automations

Que is your always-on fundraising assistant, built directly into EveryAction. Workflow Automations are one of the most useful tools in EveryAction, and many organizations have never built one. Que helps you get started by drafting the automation and guiding you through it, so you don’t have to start from a blank canvas.

With a clear goal, you can get a drafted automation structure, a saved search for who enters, emails ready for your review, and waits based on best-practice defaults. Que keeps the conversation going so you can adjust the automation until it fits your organization.

Whether you’re a Development Associate who has never built an automation or an experienced user who wants a faster way to start the next one, Que helps you spend your time on the message instead of the mechanics.

Prompt Guide: How to Get the Most from Workflow Automations

Que works best when you tell it what you’re trying to accomplish. You don’t need to know which steps you need. Describe the goal, and Que will propose the structure.

Try prompts like:

  • Help me build a welcome series automation.

  • Help me welcome new donors to our organization.

  • Help me set up an automation to move one-time donors toward monthly giving.

  • Make the wait between emails five days.

  • Add one more email to this automation.

You can expect:

  • A drafted automation with all of its steps, so you aren’t starting from a blank canvas

  • Guided setup for saved searches, emails, waits, and decision steps, with a review before each is attached

  • Best-practice defaults, such as a three-day wait in a welcome series

  • Plain-language edits when you want to change something

  • A clear handoff to the workflow builder for anything Que can’t set up yet

What Que Sets Up for You:

  • Saved Searches (who enters the automation, with a preview before you attach)

  • Emails (drafted for you to review and edit)

  • Waits (set from a best-practice template and easy to change)

  • Decision Steps (paths that route supporters based on criteria)

What You’ll Finish in the Workflow Builder:

  • Que can set up saved searches, emails, waits, and decision steps. For anything else, such as assigning staff for follow-up, Que will let you know to finish in the workflow builder. Click View in workflow builder at any time to review or edit your automation there.
