Follow the steps below to issue a refund to a donor or to record a refund that was processed outside of EveryAction. This process applies to contributions that have been marked as Posted to the General Ledger (meaning they have been recorded in your accounting system) or are part of a closed financial batch (a group of contributions that has been locked for accounting purposes).
Before You Begin

Know whether you are issuing the refund through your integrated payment vendor (such as Paragon, Stripe, or PayPal), or recording a refund that was already handled manually

Have the contribution open and ready on the contact record or in the Contribution Report
Step 1: Open the Contribution Details Page

From the EveryAction Home Page, open the contact's record or go to the Contribution Report.

Find and open the contribution you need to refund.
💡 Use the Search for a page field in the left-hand navigation and type "Contribution Report" if you need help finding it.
Step 2: Select Adjust

Select the Adjust button or link, which you'll find next to the contribution amount on the contribution details page. A pop-up window will appear.

Set the Adjustment Type to Refund.

Enter the refund amount (full or partial).
💡 If your adjustment will affect membership dues or other linked records, you may see a warning at this step. Review it before continuing.
Step 3: Choose How to Process the Refund
You will be asked how you want to handle the refund:

Yes, issue a new refund to the donor: Select this if the contribution was made through an integrated payment vendor (Paragon, Stripe, PayPal). EveryAction will send the refund request to your payment vendor when you submit.

No, record a refund: Select this if you have already issued the refund using another method. This updates the contribution record only—it does not send a request to a payment vendor.
Step 4: Submit and Confirm

Review your entries and click Submit.

A summary of the adjustment will appear on the contribution page, beneath the original amount.
You don't need to do anything else after submitting. If you issued the refund through your payment vendor, the Status will automatically update from Pending to Settled or Declined once it has been processed. A settlement date and batch are assigned automatically to help with reconciliation. The date for credit card refunds will always reflect the current day's date.
