Follow the steps below to record an adjustment on a contribution using one of the available adjustment types. Use this when something has changed or been reported back to you from outside the system—such as a chargeback, a stopped check, or a bank-returned payment—and you need to update your records accordingly.
💡 Adjustment types record what happened to a contribution. They do not send money back to the donor. If you need to process a refund through your payment vendor, see How do I issue or record a refund on a posted contribution?
Before You Begin

Have the contribution details page open.

Know which adjustment type applies to the situation. See the list below if you're not sure.

Know the Payment Method associated with the contribution. You can find this on the contribution details page, listed under the contribution amount.
Adjustment Types Available
When you apply an adjustment, you will choose from the following Adjustment Type options:

Refund

Charge Back

Insufficient Funds

Fraud
-
Other

Account Closed — New

Stop Payment — New

Processing Error — New
The three new types—Account Closed, Stop Payment, and Processing Error—align with standard bank return codes. They are available across all payment methods and are especially useful for organizations reconciling against external accounting systems such as NetSuite.
⚠️ Once you apply an adjustment, you will no longer be able to edit the contribution amount. Make sure the adjustment type is correct before submitting.
Step 1: Open the Contribution Details Page

From the EveryAction Home Page, go to the contact's record or open the Contribution Report.

Find and open the contribution you need to adjust.
💡 Type "Contribution Report" into the Search for a page field in the left-hand navigation if you need help finding it.
Step 2: Select Adjust

Click the Adjust button or link, which you'll find next to the contribution amount on the contribution details page.

The Adjust Contribution window will open. Fill in the fields described in Step 3.
Step 3: Choose Your Adjustment Type

From the Adjustment Type dropdown, select the type that matches the situation.

Select the Payment Method.

Enter the Date of the adjustment.
For Account Closed, Stop Payment, Processing Error, Charge Back, Insufficient Funds, Fraud, and Other:

No Status field will appear on the adjustment record

The transaction will not be assigned a settlement date or batch
Step 4: Submit

Review your selections and click Submit.

A summary of the adjustment will appear on the contribution page beneath the original amount.
