Best Practice: Recording Contacts via Automation

Hello, workflow automation users! As our organization expands our number of automations, we’re finding that there’s a sticky point with automated contacts (i.e. emails) not being recorded on the contact record. While we can pull a report to see who got those emails, it’s not the same as actually seeing “Contacted via email on XX/XX” within the individual’s record. Unfortunately, that’s starting to mess up our sense of contact timing.

Are there any good workarounds people have found for that? I’m putting a pinned note at the top of their profile, as well as using an activist code, but there’s still limitations in reporting and CAL since automated emails don’t look like personal contacts.

Curious to see if others are bulk uploading once a month, adding additional flags, or have found some setting in automations themselves that I’ve somehow missed!

On the All Details view of a contact record, you can see any targeted email sent and the date, even ones sent through an automation. Would this help give you the data you are seeking to see history directly on the individuals record?

@Lark Valente are you specifically talking about the Contact History section of the contact record?

Thank you both! Yes, I most often use the “Contact Record” view and reference the activity stream. I’ll be sure to check the Targeted Emails tab in the “View all details” view in the meantime. It would also be helpful to see it in the Contact History section like @Sally Heaven referenced.

I suppose it’s really a matter of “I’d like automated emails to be treated as a personal, noteworthy contact rather than a bulk targeted email,” although it seems like that isn’t possible in the system. If you’ve got any tips from that lens, I’d be curious to hear them! Thank you for clarifying. :)
