How do I streamline acknowledgements for long-time recurring donors?

I would like to recognize long-term recurring donors in ways that go beyond the initial letter we send after the first contribution and the email receipts that come with each monthly contribution. Much like the Contribution Acknowledgement Report, I would ideally like to generate letters on EveryAction and add a record to each person who is sent a letter. I would like it to include details that are available in the Recurring Commitment Report, like:

  • Amount
  • Frequency
  • Start Date
  • Total Contributions Received to Date
  • Plus all of the fields required for sending a letter (name, address, etc.)

Ideally, it would be great to have a Mail Merge Template that works for this purpose, or a way to generate a report that could be paired with a Word document to do my own mail merge. We’re thinking of doing it to acknowledge contacts who have given above a certain cumulative threshold in recurring contributions, or who have given for a certain time period. But everything I’ve tried would require a lot of thinking/work on the backend, and it would be nice to have something more automated. If anyone has done something similar or has ideas for how this could be accomplished, please let me know. Thank you!

I’m not sure about EveryAction (I used NFG) but I think you should be able to create a custom report and then export it into an excel spreadsheet. Then you can create a mail merge from there. If you use Avery labels, you can upload the spreadsheet into their system and it will create mailing labels automatically.

@heatherelizabeth29 I think you could do this in EveryAction using a combination of a scheduled, filtered Contribution Aggregate Report, and a Mail Merge Template. Then you can generate your letters inside of EveryAction and print them out. This is assuming you want to mail the letters instead of emailing them. 

I think it could be automated somewhat, but not necessarily set it and forget it. If you share more details about frequency of letters and the content (plus whether and how often you’d want to change it) I could help you brainstorm.

Thanks so much, Sally! I think this is the best path forward. Full automation just might not be possible right now, and that’s fine, as we’d only be contacting a smallish number of donors. Thanks again for your help!
