RSVP options with Synched Zoom Webinars

I’ve been synching zoom webinars to EA events & online forms but have not figured out how to set up a form that honors a “no” rsvp. I want to be able to exclude no replies from further outreach so I had include “no” as an option on the EA form, but anyone who responds at all gets pushed to zoom and receives an email from zoom with the join info… which is confusing for people who have just said they can’t make it. I’ve since only allowed an “rsvp-yes” option to avoid that confusion, but then I can’t track who has seen the invite email and can’t make it (unless they respond to me directly). Am I missing something? Please help 😊 Thanks!

Hi Kayla! This is a limitation for zoom. When a form is submitted in EA, it counts them as a sign up. This then pushes to Zoom as part of the integration. 

What you could do instead is: 

  • Create a separate RSVP form that is NOT an Event Signup form (a general Online Actions form).
    • Include choices like Yes / No / Maybe.
    • On submission, apply an Activist Code or Survey Question response indicating RSVP status.
  • In your Targeted email invite, link to the RSVP form.
    • Now you can report on opens/clicks via Targeted Email metrics, and capture “No” via the form response.
  • Build outreach exclusions in Create A List using that Activist Code / Survey response (exclude RSVP=No), while still retaining email engagement tracking.

Thanks for your response,  ​@rachel moody. I appreciate your ideas for excluding no rsvps from follow up invites. I understand that there is a limitation with zoom but what about just within EA? I was also thinking about disconnecting zoom from the event and just uploading “yes” responses directly. If I’m not linked to zoom though I still don’t see how a “decline” response in a event sign up form maps to the participant status within EA. Everything is recorded as “sched-web” - is that the only response option for the online action event sign up form. Thanks for your support!

Hi Kayla! I know we talked about this today in Office Hours, but just wanted to close this loop here. Currently, every response to an event signup form will be marked as “sched-web.” You can change the status after the fact by using bulk apply or edit one by one.
