Organization Profile: Payment Methods

The Payment Methods page in the Bonterra Nonprofit Hub allows organization owners to efficiently manage how their organization receives funds. This page provides essential options for setting up electronic payments, managing check payments, and designating a payment contact for any inquiries.

Note: This page is only visible to Organization Owners. Any secondary users will see a message indicating that the page is only available to owners.

If your organization used FrontDoor, existing payee details have been carried over. Verified owners can verify or update these here. The system uses GIACT and other tools for validation. Failed verifications may require you to upload documents.

 

Key Actions Available on This Page

Set Up Electronic Payments

Organizations can quickly and securely receive funds by adding a bank account for electronic transfers.

  • Click the Add bank account button to begin the setup.

 

Manage Check Payment Details

If your organization receives payments by check, the payment details will be displayed here.

  • You can view the payee name and update the mailing address if necessary.
  • Click the edit icon (pencil) to modify the check payment details.

 

Designate a Payment Contact

Organizations can assign a point of contact for payment-related inquiries. This includes the name, email address, and phone number to ensure funders or support teams can reach the appropriate person.

  • Click the edit icon to update the payment contact information.

 

Accepted Documents for ACH Enrollment 

If your organization needs to submit documentation for ACH enrollment, the following are accepted: 

  • Voided check — Must have your organization's name printed on it. Submit a scan or photo taken on a flat surface. 
  • Bank letter — Must be on official bank letterhead, confirm an active account, and include the bank's name, phone number, and a bank signatory. Must be dated within the last two years. 
  • Bank statement — Must be dated within the last month and include the bank name, your organization's address, and account number. 
  • Other accepted formats — Deposit slips and certain bank-specific forms are also accepted. 

DBA Name Handling 

If your document is rejected due to a name mismatch, update the DBA Name in the system to match your bank documentation exactly before resubmitting. Documentation confirming a DBA name is generally accepted as long as it meets standard verification requirements. 

Why Your Bank Letter Was Rejected — and How to Fix It 

Bank letters are rejected if they're missing critical information or don't meet formatting standards. To fix these issues, resubmit a document that meets all requirements. 

  • Missing Information — The letter must include your organization's full name, bank routing number, and full bank account number. 
  • Outdated Document — The letter must be dated within the last two years. 
  • Invalid Signature — It must be on bank letterhead and include a name and signatory from the bank. A handwritten or wet signature is generally required, though digital signatures are sometimes accepted if they appear untampered. 
  • Missing Bank Details — The letter must include the bank's phone number and confirm your organization has an active account. 

To fix and resubmit: 

  1. Request a new letter from your bank that includes all missing elements (routing number, account number, wet signature, and a recent date). 
  2. Log in to the Nonprofit Hub and access your account to provide the updated documentation. 
  3. Upload the new letter as a PDF, PNG, or JPEG. 
  4. Note: If you were previously approved but are now denied, you must still provide the new documentation. Prior approval does not carry over to new applications.

 

How to Resubmit After an ACH Denial 

To resubmit after an ACH denial, follow these steps: 

  • Access Payment Preferences — Only the Verified Owner can edit ACH information in the Payment Preferences section of the Organization Profile. 
  • Update Information — Review the rejection reason in your notification (for example, missing routing number, account mismatch, or outdated statement) and enter the corrected banking details. 
  • Submit for Review — Once updated, your information will be queued for manual review.

 

Important Clarification 

Prior approval does not carry over to new applications or resubmissions. You must provide all required documentation and meet current verification standards for every new submission. Ensure you upload a valid voided check, bank letter (on letterhead, signed, and dated within two years), or bank statement that matches your organization's details.

 

Why Accurate Payment Information Matters

Ensuring accurate and up-to-date payment details helps organizations receive funds promptly. Having a designated payment contact ensures smooth communication regarding fund disbursements.

Setting up electronic payments reduces processing time compared to mailed checks.

To become a verified owner, you'll need to claim your organization's account in the Bonterra Nonprofit Hub. If your organization's account is already claimed, the current owner must transfer ownership to you. We also have a process available if the current owner is no longer with your organization.

Note that each account can have only one verified owner.
