Follow the steps below to correct a contribution amount or remove a contribution that should not have been recorded. You can only edit or delete a contribution if it has not yet been settled, linked to a membership, assigned a Date Posted, or included in a closed financial batch.
⚠️ Only delete a contribution if the transaction truly did not take place—for example, a cash gift entered on the wrong contact record or a test transaction. Do not delete contributions that were charged to a credit or debit card or submitted to a payment processor. For those, use a refund or adjustment instead.
Before You Begin
-
Confirm the contribution has not yet settled or been posted to the General Ledger. A contribution is "posted" once it has been recorded in your accounting system. You can check this in the Accounting Information section of the contribution record.
-
Confirm it is not part of a closed financial batch. A financial batch is a group of contributions processed together for accounting purposes. If the batch has been closed, the contribution can no longer be edited directly. Check with your administrator if you're not sure.
-
Confirm it is not linked to a membership.
If any of the above apply, you will need to use a refund or adjustment instead. See How do I issue or record a refund on a posted contribution?
Step 1: Open the Contribution Details Page
From the EveryAction Home Page, navigate to the contribution you want to update. You can get there two ways:
-
Go to the Contribution Report and find the contribution, then click to open the details page.
-
Go to the contact's record and open the Contributions section, then click the contribution.
💡 If you can't find your way to the Contribution Report, use the Search for a page field in the left-hand navigation and type "Contribution Report."
Step 2: Edit the Amount or Delete the Contribution
From the contribution details page:
-
To edit the amount: Update the amount field and save your changes.
-
To delete the contribution: Select the Delete button or link near the top of the contribution details page to remove the entire transaction.
⚠️ Deleting a contribution is permanent. Only proceed if the transaction genuinely did not occur.
