How are you using Apricot?

In as few or as many words as you’d like, how are you using Apricot? What are the pain points? What is working well. Does the product seem like it serves your agency well? Is it an exact match? Or are you making it work. Do you use the HMIS integration?

Are you using the API? In what way.

The API has fundamentally changed how my agency is using Apricot and addressed many of the pain points while opening up its own. I still can’t archive forms due to issues but being able to have staff enter multiple case notes at once for example has been revolutionary. I am unsure if there is any platform well suited for what we do at this point. And I am thankful we have this instead of Eccovia like our local HMIS provider uses. Housing Intakes is still a process we haven’t been able to determine a way to make Apricot work for us.

    Unfortunately, we have to use Clarity Human Services as our HMIS because our Continuum of Care requires participating agencies to use the designated HMIS platform. This creates a multitude of issues, namely that all of our housing data must be entered into two different systems. Housing is one of our programs, but we also have an education program, so we do plan to continue using Apricot. 

    I am currently trying to figure out if there is a way to automate the process of moving the data that our case managers enter into Clarity into Apricot. Ideally, we would have liked to have our case workers enter data into Apricot and have that push to Clarity, but that doesn’t seem to be an option. I actually just submitted a ticket to the HMIS Support Team asking about API access, so we will see where that goes! 

    Does anyone else have experience with something like this?

    We just manually replicate data into our hmis :(. Maybe Clarity Human Services would play well with Playwright? It is theoretically possible for us to do it that way, (API access from HMIS provider not possible) but the programming effort has been a lot to overcome when we still have the rest of our jobs to do.

    Yeah, manually replicating the data is just incredibly inefficient. My original idea was to see if HMIS could export the data to a database, and then use Zapier to upload it into Apricot. But before going too far down that path, I figured it made more sense to first find out what integration or export options are actually available.

    I'm also trying to learn more about the programming side of things. Right now, though, my role is essentially just serving as our organization's Apricot Administrator, so software development isn't really part of my background. That said, this may be the push I need to start learning more about it!
