As you build a report, you can decide whether all report data should automatically load when editing or running the report. This is determined by the report's Auto Run setting; follow the steps listed below to learn how to enable Auto Run and what impact it has on your report and user accessibility.
Step 1: Open the report's properties
To the right of the report name, click the green gear icon to open the Report Properties window.
Step 2: Adjust Auto Run settings
At the bottom of the window, you can set Auto Run to be enabled or disabled for the entire report when opening it in Edit Mode (in the Report Builder) or Run Mode.
Whether you use Auto Run can depend on which report you're working with. This setting may be helpful when building reports with a smaller data set so you can see how the data you're pulling in is impacted with each change you make. With larger reports, however, Auto Run can potentially create problems if the report stalls out or freezes upon loading every time you open it.
Notes:
-
Run Mode settings also affect any report bulletins you may have on your Apricot landing page.
-
The Auto Run settings you enable in Report Properties will override any settings enabled at the report section level. If you make changes to the Auto Run setting within a report section's properties (by clicking its green gear icon), the selection made in Report Properties will clear.
Step 3: Save your changes
Be sure to click Apply in the report or section properties once you've finished adjusting the Auto Run settings.
Finally, save your report from the Report Actions palette. You can also publish the report to make the changes immediately available to other users running the report.
Step 4: Refresh report data
When a report section runs, the results are temporarily saved for 30 minutes. If you open the same report again within that window, the report loads from this saved snapshot rather than re-querying your data — this helps the report load faster.
If new records have been added and you want to make sure you're seeing the most up-to-date data, click "Click to refresh data" in the report section. This bypasses the saved snapshot and pulls a fresh set of results. The refreshed data is then saved as the new snapshot for the next 20 minutes.
Step 5 (optional): Turn Auto Run back on
Any user with access to the report can turn Auto Run back on during their session. If a report's properties disable Auto Run in Edit Mode, you'll see this message inside every report section in the Report Builder: "Auto run has been turned off for this section. Click here to turn it back on."
Clicking this message loads the first 10 rows of report data for that section.
If a report's properties disable Auto Run in Run Mode, you'll see this message instead: "Auto run has been disabled for this section. Click here to load your data."
Clicking this text will load every row of report data for the section.
