Effective data entry is the foundation for getting the most value out of your Apricot database. As the central hub for your organization's information, Apricot relies on users to accurately and consistently input data through a variety of forms and records.

 

At the heart of Apricot are the forms - the templates used to collect data. Administrators have access to a robust set of standard and specialized form fields that can be configured to meet the unique needs of any organization. These forms serve as the entry points for creating new records, which are the individual data points stored in the system. While forms are designed for data collection, the data they collect can later be accessed and analyzed through reports, creating a full cycle of data management within Apricot.

 

Building effective forms requires careful planning and ongoing management. Administrators must consider the types of data their organization needs to collect, design forms accordingly, and then maintain those forms over time as requirements may evolve. This includes tasks like editing field properties, controlling user permissions, and leveraging advanced features like linking fields to connect related data across multiple forms. When designing forms, administrators should also consider how the collected data will be used in reports, ensuring that form fields align with reporting needs.

 

Once the forms are set up, users can begin creating records. This involves navigating to the appropriate form, filling out the required fields, and saving the new record within the appropriate programs. After records have been created, users can manage them through the Document Folder. Here, they can search for, view, edit, copy, and even archive records as determined by the user's access and form permissions.

Please share how the system captures the new participants once is registered to the database/

Hi ​@Juliana Ramirez! Great question.

In Apricot, new participants are captured through Tier 1 records — this is the participant's profile form where their core information (like name, demographics, and contact details) is entered and saved as a record in the system. 

Upon saving, the Tier 1 participant profile is created and stored as a record in the Document Folder and from there, additional service records (Tier 2) can be linked to that participant's profile over time

what fields are mandatory when enrolling students in afterschool programs?

The mandatory fields for student enrollment actually depend on how your Apricot system is configured, but here are the typical required fields most organizations use:

  • Student name (first and last name)
  • Date of birth (for age verification and program eligibility)
  • Enrollment date
  • Program selection
  • Parent/guardian contact information (at minimum, one contact name and phone number)

However, to give you a more precise answer, I have a few clarifying questions:

  1. Are you setting up a new enrollment form, or are you trying to understand what's already required in your current Apricot setup?
  2. Are there specific regulations or program requirements your organization follows (state requirements, funder mandates, etc.) that might affect which fields you need?
  3. Do you need fields beyond the basics — like emergency contacts, allergies, special needs, or permission forms?

I work for the YWCA of Jamestown and I am inputting data for attendance purposes  per the 21st century grant for afterschool programs .I have over 120 students in 4 different schools so that is a lot of data to enter.I just want to know exactly what fields I need.Also Is there A way to Put students in from last year without re entering can I down load or no.

Recommended Mandatory Fields for 21st Century Grant Enrollment in Apricot:

For attendance tracking and grant compliance, these are the fields you should prioritize:

  • First and last name
  • Date of birth
  • School (which school they attend)
  • Grade level (or age)
  • Enrollment date (when they joined your program)
  • Program (the afterschool program they're in if you have multiple within your nonprofit)
